Tap or click your name from the list. The PIN entry pad appears automatically.

Use the number pad to enter your PIN. It verifies instantly — no confirm button needed. CLR clears all digits, ⌫ deletes the last one.

Use the category tabs (WASH, FOOD, MAINS, etc.) or the search bar to find any product by name or SKU. Results filter in real time as you type.

Click or tap any product card to add it to the cart. Each tap adds one unit. If the item is already in the cart its quantity increases. Green notification confirms each addition.

Use − and + buttons to change quantity. Reducing to zero removes the item. VOID ALL clears the entire cart and starts fresh.

Type a promo code (e.g. PAYDAT25 for 25% off) or a number (e.g. 10 for 10% off) in the discount field and click APPLY. Appears on the receipt.

Select CASH then click PROCESS PAYMENT. Enter the amount tendered using the number pad or quick buttons ($5, $10, $20, $50, $100). The CHANGE DUE box updates live in green. Click CONFIRM PAYMENT.

Select CARD or MOBILE, click PROCESS PAYMENT. Process on your physical terminal or mobile payment device. Click CONFIRM in PayDat to record it.

After payment, click 🖨️ PRINT RECEIPT. A formatted receipt opens in a new window showing:

• Business name, address, VAT number
• Official Receipt header with TXN #, date, time
• Terminal ID & Cashier name
• Itemised list with quantities and prices
• Subtotal, discount, tax, total
• Payment method
• Change due (cash payments)
• Your custom footer message

Click PRINT NOW in the receipt window to send to your printer.

OK = healthy stock   LOW = below your threshold   OUT = zero stock. Set the threshold in Settings → Low Stock Threshold (default: 10).

Click + NEW ITEM. Fill in: Name, SKU, Price, Cost, Stock (999 = unlimited), Emoji Icon, Category, and Taxable. Click SAVE ITEM. It appears instantly on the POS screen.

Stock decreases automatically with each confirmed sale. Items set to 999 are never deducted (unlimited services, drinks, etc.). Export your inventory as CSV for stock counting.

TODAY REVENUE Total sales for today  •  AVG ORDER VALUE Average per transaction  •  ITEMS SOLD Total units today  •  LIFETIME REVENUE All-time total

The bar chart shows revenue hour by hour from 8am to 10pm. Use this to identify peak trading times and plan staffing. Top Items shows your 6 best-selling products by revenue, all-time.

Go to Users tab → click + ADD USER. Enter name, emoji avatar, 4-digit PIN, and role (Admin / Manager / Cashier). Click SAVE USER. They can log in immediately.

Click EDIT on a user card. Type a new 4-digit PIN to change it (leave blank to keep current). Change role with the dropdown. Click SAVE USER.

Click your name chip in the top-right corner of the app. Click SWITCH USER. The login screen appears showing all users.

If any user has items saved in their cart, you will see a 🛒 cart badge with the item count next to their name.

When you switch out, PayDat saves your: cart items & quantities, discount/promo applied, and payment method selection. When you switch back in and enter your PIN, everything is restored exactly as you left it.

Cashier A is mid-order. Manager needs to quickly process a staff transaction. Manager clicks Switch User, logs in, completes their sale, then switches back. Cashier A logs in and their original cart is restored — ready to continue.

During setup choose Host Station. Go to Network tab and click COPY SYNC CODE to copy the unique sync code.

Open PayDat-v1.0.html on the second device. During setup choose Terminal Station. Paste the sync code from the Host. The terminal will sync automatically within 10 seconds.

Transactions — Sales on any terminal appear on all stations
Inventory — Stock deductions sync across all stations
Station Presence — Online/offline heartbeat every 10 seconds

Go to the Hardware tab. Click a device type card (Receipt Printer, Barcode Scanner, etc.) or click + ADD DEVICE. Fill in the name, model, connection type, port/IP, and assigned station.

For any wireless or Bluetooth device, you must set a Security Key. This is a password you create that protects the connection.

PayDat hashes your key using SHA-256 — the strongest standard hash algorithm. Your raw key is never stored, only the hash. This means even if someone accesses your database, they cannot recover your key.

Only devices and stations with the matching key can authenticate. This blocks:
• Wireless packet sniffers
• Rogue printer/device attacks
• Bluetooth spoofing attempts

USB scanners work as HID keyboards — no driver needed. Just click the Search box on the POS screen, then scan any barcode. The scanner types the SKU code and PayDat searches for it instantly. Extremely fast for high-volume selling.

Go to Settings → Theme. Click any of the 12 coloured swatches: Cyber Dark, Midnight Blue, Emerald, Royal Purple, Sunset, Rose Gold, Arctic Light (light mode), Crimson, Forest, Golden Hour, Ocean, Monochrome. The entire app switches instantly.

Go to Settings → Font & Size. Choose font: Futuristic (Orbitron), Modern (Inter), Friendly (Poppins), Professional (Montserrat), or Clean (Rajdhani). Choose size: S / M / L / XL. The preview row shows how text will look.

Click the 👤 CUSTOMERS tab, then click + NEW CUSTOMER. Enter:

Name: Customer's full name
Phone: Contact number
Email: Email address
Notes: Preferences, allergies, special requests, etc.

Click SAVE. The customer is now in your database.

The customer list automatically shows:

Visits: How many times they've made purchases
Total Spent: Lifetime value

This data is calculated from your transaction history. Every sale linked to a customer contributes to these totals.

When processing a transaction at the POS, you can link it to a customer. Their purchase history and visit count will update automatically. This is especially useful for service-based businesses tracking regular clients.

Use the search box at the top of the CUSTOMERS tab. Search by name, phone number, or email. Results filter instantly as you type.

Click EDIT next to any customer to update their information. Click DEL to remove them from your database. Note: Deleting a customer does not delete their transaction history.

Click the 📅 SCHEDULE tab, then click + NEW APPOINTMENT. Fill in:

Customer: Select from your customer list
Date: Choose the appointment date
Time: Set the time (e.g., 2:00 PM)
Service: Describe the service (e.g., "Full sleeve session", "Property inspection", "Vehicle pickup")
Notes: Any additional details

Click SAVE. The appointment appears on your schedule.

Use the date picker at the top to view appointments for any day. Today's date is selected by default. Appointments are sorted by time automatically, showing:

• Time
• Customer name
• Service description
• Notes
• Status (pending, confirmed, completed, cancelled)

Track the progress of each appointment with status labels:

PENDING: Appointment scheduled but not confirmed
CONFIRMED: Customer confirmed they're coming
COMPLETED: Service finished
CANCELLED: Appointment cancelled

Click EDIT on any appointment to change its status.

Click EDIT to modify the date, time, service, or status. Click DEL to remove the appointment. Changes are saved instantly.

Choose your base currency during setup or change it anytime in Settings:

Go to Settings → Currency. Select your currency from the dropdown. All prices, receipts, and displays will update to show the correct currency symbol and format. Your existing product prices remain the same, only the display changes.

When adding products to inventory, enter prices in your selected currency. For example:

If set to BSD: Enter 25.00 → displays as B$25.00
If set to HTG: Enter 500 → displays as G500.00
If set to DOP: Enter 750 → displays as RD$750.00

Type these in the discount field on the POS screen and click APPLY:

PAYDAT25 — 25% off  •  WELCOME10 — 10% off
VIP50 — 50% off  •  STAFF30 — 30% off  •  PROMO15 — 15% off

Type any number 1–100 in the discount field. For example 15 gives 15% off. Discount is applied to the subtotal before tax is calculated.

Go to Transactions tab → click ↓ EXPORT CSV. Use the filters to narrow by date and method first if needed. Opens in Excel, Google Sheets, or Numbers.

Go to Settings → Export Database. Downloads everything — settings, users, products, transactions — as a JSON file. Store it safely. This is your recovery file if you ever need to move to a new device.
